Phones and devices
Every phone that sends data to this server is either a Joripo Collect device, signed in by a person, or holds a device key (for ODK Collect). Both are managed on the Collect tab, by owners and managers.
Approving Joripo Collect phones
When a person signs in on a phone, it becomes a device under Joripo Collect devices: the person, the phone's model, the app version and when it was last seen. Each organisation chooses a rule for new phones (New phones):
- A person's first phone is approved at once, and any further phone waits for approval; or
- Every new phone waits for approval.
A waiting phone shows Waiting for approval and checks again on its own. Approve lets it download forms and send data; Reject refuses it.
Ticking Owners' and managers' phones always wait holds every new phone of an owner or manager for approval whatever the rule above: their phones can download every preload file, which often holds respondents' names. Another owner or manager approves it (or they approve their own from the console).
Which workspaces a phone gets
An approved phone receives one key for each workspace its person collects in: every workspace, unless an owner has chosen some under People › Edit › Workspaces (Configure › Your users in the Legacy console). Taking a workspace away stops that key at once (the phone is told why); giving it back makes the same key work again.
Keys expire when a phone stops checking in
Joripo Collect checks in with the server when it opens and every ten minutes while it is used, and each check-in keeps its keys valid for another 30 days. A phone left unused or offline for 30 days is refused until it checks in again, which it does on its own the next time it is opened online; nothing on it is lost, and what it could not send goes out then. A lost phone therefore stops by itself after a month, even if nobody revokes it.
A lost, replaced or retired phone
Revoke cuts a phone off. It is refused the next time it connects, even if it is offline today; nothing it already sent is touched. A replacement phone simply signs in and is approved like any new one. Deactivating a person (People, or Configure › Your users in the Legacy console) also revokes every phone of theirs.
A phone that is refused keeps its drafts and finalized forms, so nothing collected on it is lost.
Signing out on a phone
Signing out in Joripo Collect stops that phone's access at once. Its drafts and finalized forms that are not yet sent stay on the phone, and go out once someone signs in on it again.
Several people, several phones
A person may use more than one phone, each its own device; and several people may share one phone, each signing in in turn.
Device keys for ODK Collect
A device key is a credential in a QR code (New device). It is not tied to a person: one key per phone or per team. Revoke it to stop it. Keys made before the server's address changed point at the old address; make new ones.
These keys never expire, so each one shows its age. Keys named Joripo Collect · person · phone without a device were given to Joripo Collect 1.0 before phones were bound to people; they are not tied to a phone. Revoke one once that phone has signed in again (it then appears under Joripo Collect devices); nothing revokes them automatically.
ODK Collect with an email and password
If an owner has turned it on (Organisation › Access, or Configure › Server settings › Access in the Legacy console), ODK Collect can be set up without a QR code: in ODK Collect's server settings, enter the Server URL shown in that panel (it ends in /s/ and your server name, or is your server name's own address), the person's Joripo email as the username, and their password. It works only over https, only for owners, managers and data collectors, and lists the forms of the workspaces that person collects in. Too many wrong passwords block further tries for a while, as at sign-in.
When the server's address changes
A server run from a laptop through a tunnel gets a new public address each time it starts. Phones already signed in to Joripo Collect keep everything: in the app, open Settings › Server address, type the new address or scan the QR on its /app page, and choose Use this address. ODK Collect phones need a new device key.
Device settings
How every Joripo Collect phone behaves (when it sends, how often it checks for updates, GPS accuracy, and more) is set for the whole server by its maintainer and delivered to phones when they sign in and when they check for updates.
