Form dashboards and tracksheets
Every form has a dashboard of its own: its field status (how many interviews are done, at what pace, by whom) and, when the form has a preload list, a tracksheet of everyone on the list and who is done. It is made from the form's own variables, so a new survey has one the day its form is deployed.
Setting it up
On Forms home, press the form's Dashboard button. A panel opens under the form (the page does not move). It has a box for each part a variable can play, each a list of the form's variables, with the one Joripo found by its name and label already chosen (marked suggested):
- Respondent ID: what identifies each respondent or household (
hhid,hh_id,resp_id,bnf_id…). The tracksheet and the lock follow it. - Enumerator, and a field with the enumerator's name if the form has one (
enum_lab). - Consent, and which of its answers mean yes: a completed interview is one with consent. Without consent, a completion status and its "done" answers say it; with neither, every submission counts.
- Interview start (the day an interview is counted on), submission time, duration (tick seconds for a
duration()field), the areas largest first, GPS, a form or survey marker, and up to two more duplicate checks (a phone, a name).
Change any box, then press Save (the panel stays open and says what was done) or GO TO DASHBOARD, which saves and opens the dashboard in a new tab. Saving again rebuilds the default items; charts you added yourself stay.
The tracksheet
When the form has preload files (.csv or .xlsx attachments, the ones pulldata() and search() read), the panel lists them, all ticked. Tick several when respondents are spread over several files; tick No tracksheet for none. Choose the files' ID column (Joripo takes it from the form's pulldata() when it can).
A survey of several forms (a household roster and its main interview, say) is done for a respondent only when every form is. Tick the other forms under Forms that complete a respondent and say which field holds the ID in each; a form that attaches the same preload file is ticked for you. A form with a record per member (individual interviews keyed by the household ID) says under Records needed how many records a household needs: a number, or the list's column holding it per household (its member count). Such a form is never locked by the household ID.
The tracksheet colours each row:
- one form: green when it is done;
- several forms: yellow when some are done, red when all are;
- no colour while none is.
Everyone on the list stays on it, reached or not; submissions whose ID is not on the list are listed apart.
Locking a completed ID
With Lock a completed ID on (it is, with a tracksheet), a second completed submission of a form for an ID that is already done is refused: by the server, by Joripo Collect (which will not finalize it, keeping the draft) and by web forms. A refused form is never thrown away: it stays in the phone's outbox, marked refused, until a manager unlocks the ID. Partly done respondents of a survey of several forms are never locked for the forms they still need.
The dashboard
The page has a Dashboard tab and, with a tracksheet, a Tracksheet tab. The Dashboard tab shows:
- eight cards: completed interviews (against the target, if set), days in field, the daily average, the average per enumerator per day, the recent pace, the average interview length, the active enumerators, and duplicate records;
- completed interviews per day and their running total;
- each enumerator's performance, and their completed interviews per day over the last ten days;
- completed interviews per enumerator and per area, consent, the answers to the form's choice questions, and summary statistics of its numbers.
The averages leave out the days at the start you set in the panel (a travel day), and the recent pace is over the days you set. The period and filters above the page narrow everything at once.
Design
Owners and managers have Design, which opens in a new tab:
- Simple: Create chart opens a builder under it. Choose a chart type; it asks for exactly the variables that type needs (a stacked chart needs a category and what to split it by; a card needs none), then what it counts (completed interviews, all submissions, an average, sum, median, lowest or highest of a number, or the percentage of an answer). Preview draws it; Add to dashboard puts it below the other items. Drag the cards to move them (or use their arrows), set their width out of 12 columns, and Save layout.
- Spreadsheet: a workbook like the one a field team builds in a spreadsheet: a data sheet of the submissions, a tracksheet sheet, and a calculation sheet of field-status formulas you can change. Make charts from any range and put them on the dashboard.
Sharing
Share on the dashboard sets who may open it: Restricted (the people of the workspace; the default) or Anyone with the link can view. A link shows the dashboard and the tracksheet without names, phone numbers or other answers that identify someone, and nothing can be changed through it. Turn it off, or replace the link, and the old one stops working at once.
