Reports
Reports (Monitor, and each workspace's Reports page) turn a form's submissions into a document you can read, print and send: a summary of every question with counts, percentages and charts, numbers described, dates spread over time, cross-tabs, the words people used in open answers and the themes you coded them with, and your own text between them. A report is saved: open it again and it is computed afresh from the submissions on the server, with the same blocks and filters.
Making a report
Managers and owners make reports. On Reports, choose New report, give it a title and tick the forms it covers (one, or several of the same workspace). Leave Start with a summary of every question ticked to get the default report: a block for every question, in the form's order. Generate default report on the edit page adds a summary for every question that has none yet.
A report is an ordered list of blocks. On Edit, add a block, open one to change it, move it up or down, or delete it:
- Question summary, chosen by the question's type. A single or multiple choice: a table of every choice with its count and percent, and a bar or pie chart (a multiple choice is always a bar chart: its percentages add up to more than 100). A number: how many answered, the mean, median, standard deviation, minimum and maximum, and a histogram. A date or time: the earliest and latest, and how many fell on each day (each week, or each month, for a longer span; each hour for a time). A location: how many answers have one and their median accuracy; the points themselves only on request, and only for people with identity access. An open answer: see below.
- Cross-tab of two choice questions of one form: the counts of every pair, with row, column or total percentages. Questions inside one repeat group are paired answer by answer; a question outside a repeat is paired with every answer of the repeat.
- Text: your own words, in a small Markdown:
#headings,**bold**,*italic*, lists,>quotes and links. It is shown as text, never as a web page: nothing you write can run or load anything.
Every block can have filters of its own (received between two days, one enumerator, a question's value), on top of the report's.
Labels in another language
A form with labels in several languages (label::English, label::Bangla) can be reported in any of them: on Edit, choose the language under Labels in. Every question's and choice's label in the report, its downloads and its charts is then in that language. A label the form does not have in that language is shown in the form's default one, and the answer codes and counts never change. Data, beside each form, has Summaries: that form's reports.
Filters
The report's filters apply to every block: the days submissions were received (in the workspace's time zone), one enumerator, a choice question's value (codes or labels, separated by commas), and the review status. As in an export, a report counts approved submissions only unless you tick the others, and the answers carry reviewers' corrections (As first submitted shows them as received; external clients always see the corrected answers). A filter on a question that identifies respondents is not applied for someone without identity access, and a garbled question cannot be a filter: either would single out respondents by an answer they are not shown.
Open answers
For an open-ended question the summary shows how many answered, the words most answers use and the two-word phrases used by two answers or more (common words such as "the", "and", "এবং", "করে" are left out, in English and Bangla; a word is counted once per answer), and a keyword in context: a few answers that use the keyword (the most used word, unless you choose one), with the text around it.
Coding open answers
Reviewers, managers and owners code open answers: Code answers on a text question's block lists its answers, 50 to a page, searchable, with the question's codes to tick. Add a code (a theme: "cost of water", "distance to the clinic") with Add the code; tick the codes each answer carries and Save. The report then shows each theme's frequency, and a chart of them. The codes belong to the question, so every report that summarises it shows the same themes. Managers and owners can delete a code, which takes it off every answer.
Who sees what
A report never shows anyone more than an export would give them, and usually less:
- Questions marked as identifying on the workspace's Privacy page are not summarised for anyone without identity access: the block says so. An open answer is also cleaned of the respondent's own identifying answers (a name typed again in a comment is replaced by its pseudonym or "[protected]").
- Small counts. Every count above zero and under the report's threshold (5 unless you change it) is shown as "<5" to anyone without identity access, together with as many other counts as it takes that none can be worked out from the totals. A zero is shown: no respondent is behind it. Words and phrases fewer answers use are not listed for them, and no answer is quoted when fewer answers than the threshold answered the question or use the keyword.
- Garbled questions are shown only as counts of their recorded answers, with every small count hidden for everyone, owners included; never their words, a quote, a minimum or maximum, or a point. Any other field of a garbling scheme (a typed token, the respondent ID) shows only how many answered. A recorded Yes is not proof of a Yes: the Garbling report estimates the true share.
- Owners, and people given identity access, see the counts as they are.
Reviewers open and download a workspace's reports; managers and owners make, edit, share and delete them. Share with external clients on the edit page shares a report into chosen clients' access to the workspace: they see it as anyone without identity access does, and can download it only if their access includes downloads. Data collectors never open reports.
Printing and downloading
Print-ready page opens the report as a document; print it, or use the browser's Save as PDF. Download gives a PDF made by the server, a Word document and an Excel workbook with every table (a sheet per block, counts as numbers, hidden ones as "<5"). Each chart downloads as SVG or PNG. Every file holds exactly what the page shows you, and every download is recorded in the activity log.
Limits
A report is computed when it is opened, from every submission it covers: a form with thousands of submissions takes a few seconds. A report holds at most 500 blocks. Charts are drawn in Latin and Bangla scripts; other scripts may show as empty boxes in the PNG, Word and PDF files (the page itself shows them).
